The rules and guidelines for using HRSoftwareHyderabad's website and services.

1. Acceptance of Terms
These Terms of Service ("Terms") form a legally binding agreement between you ("Customer," "you," or "your") and HRSoftwareHyderabad ("Company," "we," "us," or "our").
By accessing our website at hrsoftwarehyderabad.com, creating an account, or using any of our services, you agree to be bound by these Terms. If you are signing up on behalf of a company, you confirm that you have the authority to bind that company to these Terms.
If you do not agree with any part of these Terms, please do not use our website or services.
2. Our Services
HRSoftwareHyderabad provides a cloud-based HR and Payroll software platform ("Platform") that includes:
- Payroll processing and salary management
- Attendance and time tracking
- Leave management
- Recruitment and applicant tracking (ATS)
- Performance management
- Employee onboarding
- Core HR and employee self-service
- Expense management
- Compliance tools for Indian labor and tax laws
We reserve the right to modify, add, or discontinue features at any time. We will provide reasonable notice for significant changes that affect your use of the Platform.
3. Account Responsibilities
3.1 Registration
To use our Platform, you must create an account with accurate and complete information. You agree to keep your account details up to date.
3.2 Security
You are responsible for:
- Keeping your login credentials confidential
- All activity that happens under your account
- Notifying us immediately if you suspect unauthorized access
- Using strong passwords and enabling two-factor authentication
3.3 Admin Access
The account owner ("Admin") controls user access, roles, and permissions within their organization. You are responsible for managing who has access to what data on the Platform.
4. Subscriptions & Payments
4.1 Plans & Pricing
Our Platform is available under the following plans:

All prices are exclusive of applicable GST (18%).
4.2 Free Trial
We offer a 14-day free trial. No credit card is required to start. If you do not subscribe after the trial ends, your account will be deactivated. Your data will be retained for 30 days and then permanently deleted.
4.3 Payment Terms
- Payments are processed through Razorpay
- Monthly subscriptions are billed on the same date each month
- Annual subscriptions are billed upfront for the full year
- Failed payments will be retried for up to 7 days. After that, your account may be suspended
4.4 Refund Policy
- Monthly plans: No refunds for partial months. You can cancel anytime and continue until the end of the current billing period
- Annual plans: Pro-rata refund available within the first 30 days of purchase. No refunds after 30 days
5. Acceptable Use
You agree NOT to:
- Use our Platform for any illegal purpose or to violate Indian law
- Upload viruses, malware, or harmful code
- Attempt to access other users' accounts or data
- Reverse engineer, decompile, or copy any part of our software
- Use automated bots or scrapers on our website
- Resell, sublicense, or redistribute our Platform without written permission
- Use the Platform to send spam or unsolicited communications
- Upload false or misleading employee data
We reserve the right to suspend or terminate accounts that violate these rules without notice.
6. Your Data
6.1 Ownership
You own your data. All employee records, payroll data, and other information you upload to our Platform remains your property. We do not claim any ownership over your data.
6.2 Our Access
We access your data only to:
- Provide and maintain the services you pay for
- Troubleshoot issues when you contact support
- Generate anonymized, aggregated analytics (no personally identifiable information)
6.3 Data Export
You can export your data at any time through the Platform in standard formats (CSV, Excel). We will also provide a full data export upon request during account termination.
6.4 Data Processing
By using our Platform, you authorize us to process employee data on your behalf. You are the "Data Fiduciary" under the DPDP Act 2023, and we act as a "Data Processor." You must ensure you have obtained proper consent from your employees for processing their data through our Platform.
7. Intellectual Property
All intellectual property rights in the Platform, website, branding, documentation, and code belong to HRSoftwareHyderabad. This includes:
- Software code and architecture
- User interface designs
- Logos, trademarks, and brand elements
- Written content, guides, and templates
- API documentation
Your subscription gives you a limited, non-exclusive, non-transferable license to use the Platform for your internal business purposes during the subscription period.
8. Uptime & Availability
We strive to maintain 99.9% uptime for our Platform. However, scheduled maintenance, emergency fixes, and circumstances beyond our control may cause temporary downtime.
- Scheduled maintenance is performed during off-peak hours (typically 2:00 AM to 5:00 AM IST) with 48 hours notice
- We will notify you of unplanned downtime as quickly as possible
- Enterprise plan customers receive SLA-backed uptime guarantees
9. Limitation of Liability
To the maximum extent permitted by Indian law:
- Our Platform is provided "as is" and "as available"
- We do not guarantee that the Platform will be error-free or uninterrupted
- We are not liable for indirect, incidental, special, or consequential damages
- Our total liability to you shall not exceed the amount you paid to us in the 12 months preceding the claim
Nothing in these Terms limits liability for fraud, gross negligence, or any liability that cannot be excluded under Indian law.
10. Indemnification
You agree to indemnify and hold HRSoftwareHyderabad harmless from any claims, damages, losses, or expenses (including legal fees) arising from:
- Your use of the Platform
- Your violation of these Terms
- Your violation of any applicable law
- Any third-party claim related to the data you uploaded
11. Termination
11.1 By You
You can cancel your subscription at any time from your account settings or by emailing us. Upon cancellation:
- Your account remains active until the end of the current billing period
- You can export your data during this time
- After the billing period ends, your account is deactivated
11.2 By Us
We may suspend or terminate your account if:
- You violate these Terms
- Your payment fails and is not resolved within 7 days
- You use the Platform for illegal purposes
- Continued use would harm other users or our infrastructure
11.3 After Termination
After account termination, we retain your data for 90 days. During this time, you can request a full data export. After 90 days, all your data is permanently deleted from our servers. Backup copies are purged within 180 days.
12. Governing Law
These Terms are governed by the laws of India, specifically:
- The Indian Contract Act, 1872
- The Information Technology Act, 2000
- The Digital Personal Data Protection Act, 2023
The courts at Hyderabad, Telangana shall have exclusive jurisdiction over any disputes arising from these Terms.
13. Dispute Resolution
Before filing any legal proceedings, both parties agree to attempt to resolve disputes through:
- Informal resolution: Contact us at legal@hrsoftwarehyderabad.com. We will try to resolve the issue within 30 days.
- Mediation: If informal resolution fails, disputes will be referred to mediation in Hyderabad.
- Arbitration: If mediation fails, disputes will be settled by arbitration under the Arbitration and Conciliation Act, 1996. The arbitration will be held in Hyderabad, conducted in English.
14. Changes to These Terms
We may update these Terms from time to time. When we make changes:
- We will update the "Last Updated" date
- For significant changes, we will email active subscribers at least 30 days before the changes take effect
- Continued use of the Platform after changes take effect means you accept the updated Terms
